Purchasing Assistant
DEPARTMENT: Product Development and Merchandising
GENERAL PURPOSE: To assist the Purchasing Coordinator in placing purchase orders, tracking progress of producers in preparing inventory for shipment, arranging for shipments to the U. S., facilitating movement through U. S. Customs, and delivery to New Windsor. Assist in monitoring shipments, and communicates shipment status and product quality information to producers. All employees are to be committed to working with SERRV staff to ensure the fulfillment of the organizational mission. CATEGORY: Part-time
PAY STATUS: Hourly
HOURS: Part time-20-25 hours/week
PHYSICAL DEMANDS: Light lifting
SUPERVISION RECEIVED: Works under the direction of the Purchasing Coordinator
ACCESS TO COMPANY CONFIDENTIAL INFORMATION: Product and pricing data, and financial transactions with producers
ESSENTIAL DUTIES AND RESPONSIBILITIES:

Check and update costs of purchase orders when necessary according to documents received from producers.

Run reports to update and maintain Act1 files for portions of sku maintenance including
-
ETA’s of shipments and backorders with input from the Purchasing Coordinator.
- E-mail or fax producers as requested by the Purchasing Coordinator.
- Run report for items recommended for discontinue dates and update in ACT1 as instructed by the Coordinator.
- Research producer inquiries pertaining to overdue payments or missing invoices.
- Filing Work with Purchasing Coordinator in evaluating quantities of domestics to be ordered,
- resulting in eventual responsibility of ordering of domestics.
- Write up shipment information for delivery to receiving and attach pertinent documentation.
- Update information in Act1 as needed (i.e. pop-ups for CSR’s).
- Check new proforma invoices from producers and alert Purchasing Coordinator of changes.
- Alert Product Development Director and Coordinator of changes to determine new price and update of catalog spreadsheet.
- Other duties that may arise in the Purchasing Department or as assigned by the Coordinator.
- Communicate status of shipment to producers 1) status of shipment when received and 2) status of products once processed. This includes taking digital images of problems in shipping or with products and communicating with the producers and the product team. This information should also be saved in a database on a by-producer basis.
KEY PERFORMANCE INDICATORS:
- Timely updating of cost, discontinue date and other information to the SERRV database.
- Accuracy and timeliness in keeping track of shipments and shipment paperwork
- Promptness in contacting producers, and persistence in following up for requested information.
- Demonstrates the ability when trained to fulfill a new task or repeat a learned task with minimal assistance or clarification.
DESIRED MINIMUM QUALIFICATIONS: Education and Experience
- College degree or equivalent work experience
- Any experience in importation, data base management, and international shipping a
- plus.
Work Experience
- Experience in processing and following up on international purchase orders and/or
- experience in working with a wide variety of foreign vendors a plus
- Must be a self-starter and able to follow directions with minimal assistance or
- clarification.
- Must be accurate with figures and familiar with database programs and Microsoft
- Excel
- Ability to manage several complex tasks at the same time

WORK ENVIRONMENT: Importing and managing foreign supplier relationships is a complex and sophisticated process requiring clear focus, excellent organizational skills, professional expertise, and an ability to meet delivery schedules and purchase order distribution deadlines. This position will assist the Coordinator in accomplishing the varied tasks of the department.

Gift Shop, Sales Clerk
DEPARTMENT: SERRV International Gift Shops/A Greater Gift Division
GENERAL PURPOSE: This position is to provide service to A Greater Gift, gift shop customers. The position includes providing product information to customers, completing sales transactions, and stocking and cleaning product displays. Be committed to working with other SERRV International, Inc. staff to ensure the fulfillment of the organizational mission.
CATEGORY: Permanent, Part-Time, or Seasonal/Temporary, no benefits
PAY STATUS: Hourly
HOURS: Varies by store and season, and can include Saturday or Sunday
PHYSICAL DEMANDS: Physical movement in different positions, lifting of products with a maximum of approximately thirty (30) pounds, and standing a good part of the workday.
SUPERVISION RECEIVED: Works under direction of the Gift Shops Manager.
SUPERVISION EXERCISED: None
ACCESS TO COMPANY CONFIDENTIAL INFORMATION: May have access to safe and store keys.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Greet customers in a friendly manner, assist them in finding specific products, and provide product information.
- Complete sales by entering transaction in computerized cash register, package product, and thank customer for purchase.
- Assist in checking in new inventory, maintaining product displays, keep product displays clean and attractive and completing opening and closing procedures accurately.
- Assist Gift Shops Manager in setting up new displays and other tasks as assigned.
- Other duties as assigned by Gift Shop Manager, Director of Retail and Conference Sales, Marketing and Sales Manager or President/CEO.
KEY PERFORMANCE INDICATORS: These indicators along with other performance data will be used to measure and evaluate the performance of the Gift Shop Sales Clerk:
- Perform quality customer interactions that meet customer needs and properly record sales.
- Assist in maintaining store appearance so that it is always appealing and showing products in a way that will attract customers.
- Represents SERRV International, Inc./A Greater Gift in a positive way in all contacts with customers.
- Dress in appropriate business attire, which includes wearing an apron, and/or other SERRV established apparel, and acting in professional manner while on duty as sales clerk.
DESIRED MINIMUM QUALIFICATIONS: Education and Experience
- High school education
- Basic understanding of retail sales
Work Experience
- Basic clerical skills and computer skills
- Retail sales experience
- Inventory control and product display experience helpful

- Strong customer service orientation
- Accurate with basic math and money
